Staff and PINs
Set up whoever uses the terminal and decide what each role can do.
Everyone signs in to the terminal with a PIN. This is where you set them up and decide what each role can do.
Adding someone
Select New person.
Enter the POS name — the one you want to see on receipts and in tip reports.
Pick the role: Server, Cashier, Kitchen or Manager.
If that person already exists as an employee in Team, link them. Then their hours and their sales refer to the same person.
Select Add and give them a 4- to 6-digit PIN.
The PIN column shows Set or No PIN. Without one, that person can't sign in.
Permissions by role
Permissions are defined per role, not per person:
| Permission | What it allows |
|---|---|
| Take orders | Open orders and add lines. |
| Charge | Close checks and record payments. |
| Discounts | Apply discounts by hand. |
| Cancel / void | Void orders and remove lines already sent. |
| Kitchen (KDS) | See and move tickets on the kitchen screen. |
| Manage orders | Reopen and close checks. |
A role with no row of its own uses the factory defaults. Change a permission and it applies at once to everyone with that role.
Removing someone
Deactivate locks that person out without deleting anything: their orders, tips and shifts stay in the reports. That's what you want when someone leaves. Reactivate brings them back.
